Job Purpose
We are seeking a detail-oriented and organized Teaching Experience Administrator to join our School of Education team on a part-time basis. This role combines critical administrative duties with the coordination of student teaching placements, serving as a vital link between our institution, partner schools, and student teachers.
Duties and responsibilities:
1. Student Teaching Experience Placement Administration;
- The administrator will manage the administrative processes related to student Teaching Experience placements, including:
- Capturing and updating student placement data in the Teaching Experience database or tracking system.
- Collecting and organising student placement forms and documentation.
- Capturing and updating student placement data in the Teaching Experience database or tracking system.
- Preparing placement lists and reports for TEC review.
- Issuing placement confirmation communication to students.
- Maintaining records of student placements per semester or placement cycle.
- Filing and archiving all placement documentation for audit and compliance purposes.
2. Schools Database and Partnership Administration
- The administrator will maintain administrative records related to partner schools by:
- Maintaining and updating the Teaching Experience school database.
- Recording information of schools, principals, and mentor teachers.
- Filing and organising school partnership documentation.
- Maintaining records of communication with schools.
- Assisting with administrative arrangements for school engagement activities.
- The administrator will assist with preparing and managing Teaching Experience documentation and correspondence, including:
- Preparing and sending placement letters and official correspondence to schools.
- Preparing mentor teacher information packs.
- Managing and filing email communication related to Teaching Experience.
- Ensuring all documentation is accurately filed and accessible.
4. Teaching Experience Supervisor Administration
- The administrator will support the TEC in managing the administrative processes related to Teaching Experience Supervisors, including:
- Maintaining an updated database of Teaching Experience Supervisors (TES).
- Preparing documentation related to supervisor appointments and allocations.
- Assisting with supervisor allocation to student placements.
- Coordinating logistics for supervisor meetings, training sessions, and briefings.
- Recording attendance and documentation from supervisor training sessions.
- The administrator will ensure that all Teaching Experience administrative documentation is accurately maintained, including:
- Managing student indemnity forms.
- Preparing registers for events, workshops, and placement activities.
- Maintaining records for audit and compliance purposes.
- Uploading required documentation to the SOE Teams channel.
- Maintaining secure and organised digital and physical filing systems
Minimum Requirements:
- Minimum: Grade 12 Matric Certificate NQF Level 4 any Higher certificate will be advantageous.
- Experience in higher education administration, academic administration, or school administration or will be advantageous.
Key Competencies:
- Knowledge and understanding of the South African higher education systems and regulatory framework.
- Knowledge and understanding of the Teaching and Learning theory and interventions.
- The ability to provide student support services.
- The ability to work with and learn more about digitalized academic platforms.
- The ability to cope with a frequently changing environment and to adapt to evolving situations.
- Ability to adhere to rules and strictly follow work regulations.
- Deadline orientated and can work well under pressure.
- Ability to manage time effectively.
Working Hours:
Classes are scheduled from 08h00am until 17h00pm, Monday to Friday. Your working hours will depend on the modules allocated to you.
