Job Purpose:

The Deputy Campus Head is accountable for the direct management of Campus operational functions including student and academic delivery, sales, recruitment, and performance of these resources.

Key Performance Area:

Implementation of the Campus Management Plan Support:

  • Manage the operational elements of the implementation of the campus management plan as aligned to the overall business plan.
  • Monitor achievement of plans and objectives per division to achieve campus targets.
  • Review and monitor divisional budget spend to ensure alignment to targets and objectives.
  • Implement the academic schedule to the budget and objectives.
  • Manage of resources in order to achieve the defined plan.
  • Monitor the progress and achievement of plans and make recommendations to the Campus Head as required

Management of Student Registration to Support Campus Sales Growth:

  • Plan and manage the student registration process.
  • Implement processes to support efficient and correct registration enrolment approached.
  • Monitor that all registered students meet minimum requirements.
  • Work closely with functional departments at central support to ensure correct registrations and billing.
  • Manage a minimum admission error rate in student registrations.
  • Conduct internal audits to check on admission error rates.
  • Drive new and returning student registrations to support the achievement of sales targets

Management of Academic Delivery:

  • Monitor academic performance and recommend necessary steps to achieve academic targets to Campus Head
  • Manage the effective functioning of Academic Faculties by focusing on Teaching and learning (T & L)
  • Manage delivery of the Academic (T&L) and student support team
  • Manage the development of class timetables and distribute to lecturers.
  • Manage venue capacity of classrooms to optimize use of space.
  • Review and analyse lecturers, moderators, students, and employers’ feedback to refine and improve the learning experience.
  • Manage the assessment cycle including timetables are scheduled, venues assigned, invigilators assigned and marking of scripts.
  • Manage the publishing of student results on the system.
  • Manage the student graduation process and logistics

Financial Management:

  • Contribute to the annual budget planning process and compile the annual budget.
  • Develop and monitor the lecturer budget.
  • Monitor and control the budget and recommend corrective action as appropriate

Management of Operations to Support a Customer Centric Culture:

  • Manage and maintain internal and external relations to ensure that problem areas are resolved timeously.
  • Manage initiatives to drive a student-centric environment and culture that focuses on achieving a student experience in line with the IIE Rosebank College institution value proposition.
  • Continually review current systems and processes and recommend refinements for an optimal student experience.
  • Manage the use of the IIE Assist platform to monitor and evaluate student satisfaction.
  • Monitor IIE assist to review queries received and response to queries

Facilities Management:

  • Implement and support the achievement of the annual Operational Plan with regard to the maintenance function within the premises i.e., building, security, cleaning, and air conditioning to ensure alignment with brand image.
  • Monitor progress to ensure successful implementation of plans.
  • Support the Campus Head in managing service level agreements (SLAs) with service providers and contractors.
  • Implement Facilities Management policies and procedures

Reporting:

  • Report on IIE Assist system and track trends.
  • Compile pass rates and cohort throughput rates reports
  • Compile results analysis reports comparing to previous years to identify trends and at-risk modules.
  • Compile a report on lecturer vacancies.
  • Compile reports on information center activity numbers, materials available etc.

People Management:

  • Conduct performance planning session, track, and monitor performance in accordance with performance contracts.
  • Conduct performance reviews in accordance with policies and procedures and take corrective actions where necessary.
  • Complete Performance Management contracts and documentation
  • Provide coaching and feedback to employees on how to improve and sustain their performance.
  • Manage Personal Development conversations and the completion of Personal Development Plans
  • Lead the department by managing appointments, promotions, and industrial relations issues in conjunction with the Human Resources Support Service Unit
  • Conduct disciplinary actions as per the company’s policy and procedure where necessary.

Education

  • NQF Level 7 Qualification in Education
  • NQF Level 8 Qualification in Business Management
  • A master’s degree in Business Management would be advantageous.

Work experience

  • 3-4 years of experience with Business Operations
  • Business experience; including financial management, budgeting, operations and sales etc.
  • 2-4 years’ experience in the Education sector would be advantageous.
