Job Purpose:

The Project Manager will oversee and coordinate a variety of projects within the National Office, ensuring efficient execution and alignment with organizational goals. This role is critical in managing project timelines, resources, and communication across departments. The Project Manager will also be responsible for improving operational efficiencies and supporting the office management function.

Duties & Responsibilities:

Project Planning and Execution

  • Develop detailed project plans outlining scope, timelines, resources, and milestones.
  • Coordinate and manage all project phases from initiation to closure.
  • Monitor and report on project progress, ensuring adherence to timelines and budgets.

Stakeholder Management

  • Serve as the primary point of contact for project stakeholders, including internal teams and external vendors.
  • Facilitate regular meetings to update stakeholders on project status and gather feedback.
  • Build and maintain strong relationships with key stakeholders to ensure project alignment with organizational objectives.

Resource and Cost Management

  • Identify and allocate necessary resources for projects, including personnel, equipment, and budget.
  • Prepare and manage project budgets, ensuring all expenditures are tracked and reported.
  • Analyze cost implications of project changes and ensure projects remain within financial constraints.

Risk Management

  • Identify potential project risks and develop mitigation strategies.
  • Monitor project risks throughout the project lifecycle, ensuring proactive responses to issues as they arise.

Office Management Support

  • Assist in the management of day-to-day office operations, including facilities and administrative functions.
  • Implement and oversee office management best practices to enhance operational efficiency.

Reporting and Documentation

  • Assist in the management of day-to-day office operations, including facilities and administrative functions.

Minimum Requirements:

Qualifications

  • Bachelor’s Degree (NQF Level 7) in Project Management, Business Administration, or a related field.
  • Certification in Project Management (e.g., PMP, PRINCE2) is highly desirable.

Experience

  • Project Management Experience 10 Years
  • Office Management Duties 5 years of experience in office management roles, including facilities management and administrative oversight.
  • IT Upgrades 3 years of experience managing projects specifically related to internet upgrades and IT infrastructure improvements.
  • Resource Allocation 5 years of experience in managing budgets and resource allocation for projects.

  • Communication Skills: Excellent verbal and written communication skills, with the ability to convey complex information clearly to diverse audiences.

  • Organizational Skills: Exceptional organizational and time management skills to prioritize tasks and manage multiple projects simultaneously.
  • Adaptability: Ability to thrive in a dynamic work environment and adjust to changing project requirements and priorities.
  • Technical Proficiency: Proficient in project management software and tools (e.g., MS Project, Trello, Asana), as well as basic knowledge of IT infrastructure relevant to office upgrades.
